Propane dealers · new customer leads

How do propane dealers get new customer leads?
A US propane dealer gets new customer leads from people who already live inside the delivery area and go looking. They search on a phone, read the Maps listing, read the reviews, ask an AI assistant, or call a neighbor's dealer. The work is to be easy to find in those places, tell the same story in each one, and answer the phone fast.
Where does a new propane customer come from?
Most new propane customers come from a moment, not an ad. Someone buys a house with a tank. A family builds out in the county. A farm adds a grain dryer. A customer is unhappy with the last dealer. In each case, a person inside your radius needs a propane company this week, and they start looking.
That person is not shopping for a brand they saw on a billboard. They want a company that delivers to their road, answers the phone, and treats people fairly. Where they look first is usually a phone search, the Maps results, or a word from a neighbor. Lately it is also an AI answer.
So a lead is not something you buy in bulk. It is a person who found you at the right moment and chose to call. Your job is to be the name they find, and the name they trust once they find it.
Why does the delivery radius decide who counts as a lead?
A lead outside the truck's range is not a lead. It is a call you have to turn down. Public pages on this site print a 30-35 mile delivery radius as the usual circle from each plant. Your configured area is the truth. Highway corridors and open county can stretch it.
Every place a buyer can find you should point at the same circle. The Maps listing names the towns you serve. The website has a page for each town inside the area. Ads, if you run them, stay inside it. Multi-office dealers treat each office as its own circle, then take the union.
Marketing that reaches towns the truck cannot serve is noise. It burns money and wastes the office's time on the phone.
Which places send the most searchers to a propane dealer?
Four places carry most of the looking: the Google Business Profile, the dealer website, the directories, and AI answers. We do not publish a split between them, because it differs by county and we have not measured yours. What we can say is that they feed each other.
The Google Business Profile is often the first record a buyer sees on a phone. It holds the name, phone, hours, service area, photos, and reviews. This site keeps a full guide on how propane companies use a Google Business Profile.
The website holds the town pages and the answers buyers ask before they call: do you deliver to my road, how does a new account start, do you run automatic delivery. The directories repeat your name, address, and phone. When those drift between places, people and machines see two businesses.
AI answers read the same public records. An engine can only name a dealer it can find and trust. Being findable is the part you control. Being cited is not a promise anyone can make.
How do reviews turn a searcher into a caller?
Reviews turn a searcher into a caller because a stranger trusts a neighbor more than an ad. A review with real sentences about a real delivery teaches more than a star count. Buyers read the words. So do Maps and AI engines.
The honest way to earn reviews is to ask the customers you already serve. Ask after a delivery or a service call, to customers who opted in, with a way to opt out. There is no review gating: you do not ask only the happy ones. Reply to every review, good or bad, in a calm voice. A fair reply to a hard review often teaches a reader more than five stars.
What happens after the phone rings?
A lead is only worth something if someone answers it. A buyer who reaches voicemail often calls the next name on the list. Speed and a clear next step matter more than any page on the site.
Decide who picks up new-account calls, and when. Have the questions ready: address, tank owned or leased, how they heat, how soon they need fuel. Know what you will ask for to set up the account. If a caller asks a safety question, give the answer your office already uses, or check the current code text. For consumer safety facts about propane, cite the Propane Education & Research Council (PERC) by name rather than a number nobody can trace.
Retail propane rates do not belong in public copy on this site. Talk price on the phone, with the caller, for their address.
What does PIMS do to help a dealer get found?
PIMS is the whole marketing department for an independent propane dealer, inside one subscription. It works on the places buyers look: local search inside your service area, the Google Business Profile, listings and NAP checks, review asks and drafted replies, town pages, and AI-search setup.
Local SEO in PIMS is radius-based rank tracking plus per-location work for every area you cover. Rank tracking measures position. It is not a claim that position moved. Listings work tracks 52 directories per location and flags mismatches. It does not claim you are listed on all 52.
The dealer still clicks yes before a review reply, a profile post, or a blog post goes live. You keep the keys to the site, the profile, and the listings. We do not promise a lead count, and we do not print a PIMS price on this page. Scope is quoted on a demo against your real office count, month-to-month.
Bill Stomp ran 87 branch offices across 12 states over a 25-year operator career, combat veteran. He's since helped 200+ propane companies. Those numbers belong to him. They are not your record and they are not a customer's record. Propane Insider sells software. We do not deliver propane.
Where should a dealer start this week?
Start with the records a buyer sees first. Open your Maps listing on a phone and check the name, phone, hours, and service area against what the office would say. Search your own town the way a new customer would. Ask the office how new-account calls are handled after hours.
Then read how to market a propane company for the six recurring jobs, and the PIMS overview for what the subscription covers. Homeowners looking up a local propane company should use the propane company directory. This page is written for US delivery operators.
